Front Desk Receptionist (Mandarin and English)

We are a team of experienced trial lawyers having appeared at all levels of court in BC. We have a diverse practice in the areas of family law, civil litigation, ICBC insurance defence, and immigration law.

We are dedicated to providing exceptional customer service and personalized attention to our clients.

We are seeking a front desk receptionist who is friendly, professional and eager to contribute to a close-knit legal team. The ideal candidate will have excellent people skills and is inspired to provide excellent customer/client service.

In this role your responsibilities may include:

  • Answering phones and taking messages with professional etiquette
  • Completing initial intake form for potential clients, including conducting conflict of interest checks
  • Greeting and welcoming new, existing, and old clients in a friendly and professional manner
  • Opening and closing files
  • Entering data into Clio, Outlook, and shared drive
  • Processing, storing, or transferring documents upon closing
  • Ensuring file homogeneity
  • Scanning/forwarding/filing/organizing incoming documents via hard copy and service email
  • Assisting with occasional billing tasks
  • Maintaining and creating new templates for Clio
  • Updating file info on Clio and shared drives
  • Ordering office supplies/stationery and ensuring organization/set-up of incoming goods and supply runs
  • Recycling for all offices and paper shredding
  • Ordering courier and/or special mail services
  • Printing envelopes and sending mail/maintaining mail log
  • Dealing with external vendor issues (printer/ink, internet, online accounts, etc.)
  • Front Desk/Office/Kitchen - keeping areas neat, organized and maintaining cleanliness
  • Bank runs and keeping billing files organized

Other

  • Perform other tasks, special projects and duties as may be assigned.

 

To be successful in this role, you possess:

  • Grade 12 Graduation Diploma/Certificate.
  • Must be fluent in Mandarin and English.
  • Community College Certificate or Diploma or equivalent combination of experience.
  • 1-2 years administrative experience is an asset.
  • Superior customer/client service skills.
  • Excellent verbal and written communication and interpersonal skills.
  • Positive, friendly, self-motivated, eager to learn and contribute to a team.
  • Strong attention to detail and ability to work under pressure.
  • Strong organizational and time management skills.
  • Ability to work independently, follow instructions and take initiative.
  • Proficiency in MS Office Suite, specifically Word and Excel.
  • Proficiency in Legal X and Clio is an asset.

Key Responsibilities include, but are not limited to:

  • Developing and executing litigation strategy;
  • Managing a medium-sized file load;
  • Conducting research;
  • Drafting pleadings, applications, affidavits, and correspondence;
  • Preparing F8 Financial Statements;
  • Interviewing witnesses and reviewing evidence;
  • Preparing for and attending at examinations for discovery;
  • Preparing for trial, including preparing questions for cross and direct examination;

  • Attending at trial; and

Requirements:  

  • Lawyer with 7 plus years litigation experience.
  • Called to the Bar and licensed to practice in British Columbia.
  • Experience handling insurance defence and family law files is preferred.
